Position Summary:

The Administrative Assistant supports the work of the Camera division and contributes to the efficient day-to-day operations of the office

Primary Duties and Responsibilities:

Reception:

  • Monitor incoming telephone calls
    • Answer incoming calls promptly, professionally, and courteously
    • Screen telephone inquiries and
      • Reply to general information requests with accurate information, or
      • Direct telephone inquiries to the appropriate staff member
    • Monitor calls on hold to ensure they are responded to in a timely manner
  • Greet visitors to the organization in a professional and friendly manner
  • Monitor incoming general emails and
    • Reply to general information requests with accurate information, or
    • Direct email inquiries to the appropriate staff member
  • Monitor incoming general voice mail messages and
    • Reply to general information requests with accurate information, or
    • Direct voice mail inquiries to the appropriate staff member

Administration:

  • Manage incoming & outgoing mail, faxes, and packages
  • Monitor supplies (office, kitchen, maintenance) and reorder items on a timely basis
  • Monitor fax, photocopier, and printer and ensure sufficient paper and ink/toner levels
  • Maintain on hand blank copies of internal forms. Distribute on request.
  • Keep track of employees’ schedules, i.e. meetings, lunches, days off, sick days and travel.
  • Filing paperwork in appropriate places
  • Collect all incoming invoices and prepare for entry in Great Plains. Send invoices for entry to Accounting department on a daily basis
  • Mail out checks for AP
  • Create invoice batches on R2
    • Send out invoices for AR
  • Use of Moneris debit and credit terminal
    • Processing payments
    • Closing batches

Operations:

  • Act as the primary point of contact for sending and collecting all client paperwork included in the Sim Forms Package
  • Enter and maintain client database in R2, ensuring accurate information and current documentation (rental agreements, insurance certificates, etc.)
  • Review credit applications for completion, securing missing details. Upon receipt of credit references forward complete applications to the accounting dept. for review.
  • Consignment
    • Search orders in R2 for pricing
    • Create POs for monthly rentals

Qualifications:

Knowledge, Skills, and Experience:

  • The ability to speak, read, and write in English is required
  • Proficiency in the use of computer programs: Microsoft Office Suite (Word, Outlook, Excel)
  • Proficiency in the use of standard office equipment

Working Conditions and Physical Effort:

  • Work is normally performed in a typical interior/office work environment
  • Some physical effort required (i.e. some lifting of supplies and material)
  • Long hours sitting and using office equipment and computers
  • Some exposure to warehouse environment
